The Importance of Grammar and Spelling
The layout and format of the matter apart, the main content of the newsletter has to be free of any spelling or grammar mistakes. Any such mistake leaves a certain impression with the reader, that the publisher is not fully well versed with the particular subject or lacks the knowledge of the English language
The reader also starts building the image of the sender as not seriously interested in his matter or the sender is disorganized and may be lacking the basic education.
It does not matter whether such an interpretation is fair, it simply matters that such an interpretation inevitably affects the influence and impact of what you have to say in your publication.
You need not to be a scholar for writing error free matter. Many spelling and grammar choices depend on the context. Moreover, many languages, especially English, are very flexible and continually evolving. However, while many readers do indeed take a relaxed attitude to such mistakes, this can be a serious issue with at least some of your readership.
Therefore, please do not crump it up or write big words, which may not be reader friendly at all. Simple text with easily understandable sentences does the trick.
The punctuation or other corrective forms of writing should not take away the actual message you want to convey. Always keep in mind that you are doing a job and the aims to convey the message in full and proper form. Hence, the correction should not affect the meaning of the content.
Therefore, it is important to talk with a human voice in your newsletter, to connect with your readers in a conversational tone, at their level, and give your newsletter a personality, that can be interactive with the readers. Therefore, bad grammar and spelling might actually work well if it fits with this approach.
Further, the grammar and spelling liberties can be taken keeping in view the audience you are targeting; like certain teen age groups etc, who may not have the perfect knowledge of language as such.
• Testing
His is very important; hence, it is highlighted with the bullets. Whatever format you may settle on, never send out a newsletter without testing it. This can be done by sending yourself a test email to catch any mistakes or errors
You can test it on various email templates and browser based platform templates and web based email addresses hotmail or yahoo etc..
